UPS invoice field guide
How to get better UPS parcel rates
Start with the invoice. Compare the billed transportation charge for the packages that ship most often, then check the minimum charge, incentive tier, fuel and accessorials. The effective cost per package gives the business a better basis for evaluating rate options.
Read the minimum charge first
When a contract minimum applies, it can limit how much a headline discount reduces the transportation charge.
| Base transportation charge | $16 |
|---|---|
| After a 50% discount | $8 |
| Applicable minimum | $10 |
| Billed transportation | $10, an effective discount of 37.5% |
Trace the other invoice lines
- Earned incentives
- Check how the agreement defines eligible spend, the measurement window and the tier that applies.
- Accessorials and fuel
- Separate residential delivery, delivery area and extended area charges, additional handling and large package charges. Check the current fuel table and the charges included in the fuel calculation.
- Billable weight
- Compare actual and dimensional weight under the applicable rate rules. Track which box sizes and shipment lanes account for the most spend.
- Rate comparisons
- Compare the same package profile, service and destination mix when evaluating quotes or benchmarks.
Does a larger discount always lower the bill?
Compare the total billed charge for representative packages. Minimums and fees can change which offer costs less.
